These FAQs apply mainly to our Holiday Clubs. See your school’s After School Hub for information regarding after school care.

Parent Info

  • When you book you will create an account on our booking system called Pembee to update your Child’s collectors, contact numbers, Friend requests, school or any other information just go to our Nimble Pembee booking site and sign into your account to edit the attendee information.

  • Children are looked after in small groups by experienced and qualified key workers.

    We have a sibling discount of 5% of the total booking when booking in siblings together.

    When paying by Tax-Free Childcare 20% of the cost of childcare is subsidised by the top ups you receive into your account.

    You can also claim back 85% of your childcare costs if eligible for the Universal Credit or Student Finance Childcare grant.

  • Every day is a completely different adventure at Nimble Arts but the things you will need on each day are:

    A FULL NUT-FREE PACKED LUNCH (we do not provide food) and snacks for breaks PLEASE NOTE we have a nut-free policy, and as we have a number of children with allergies, this is particularly important. We reserve the right to remove any packed lunch item containing nuts which will be returned to parents at pick up – PLEASE MAKE SURE YOU CHECK ALL PACKAGING VERY CAREFULLY. (if attending for AM/PM please bring 2 snacks and lunch as lunch is at 12:15pm)

    We also ask that children don’t share their lunches, (because of the number of children who do have allergies).

    There will be two extra breaks during the day so please includes snacks and a bottle of water that can be refilled during the day.

    Any medication that needs to be administered or that you would like us to have available for your child during the day (asthma pumps, Epi-pens, antihistamines etc) – these will need to be signed in and out and please make sure it is labelled with your child’s name. To save time please complete this online formbefore the club so we will have all the information we need and permission to administer form in advance.

    Waterproof coat and sensible shoes for outdoor play.

    Clothes they can move easily in and that you don’t mind getting a bit messy – whilst we have overalls available for craft projects, a bit of rogue paint or glue can sometimes escape!

    An extra bag labelled to take home things that your child has made.

    Children are welcome to bring a book as we all sometimes like a little quiet time in the day! Please make sure this is labelled.

    For any children with the potential to have a toilet accident (and this is not a problem at all – we know children are all at different stages of development) please include a change of underwear and bottoms and some wet / baby wipes.

    PLEASE DO NOT BRING POKEMON OR OTHER TRADING CARDS, TOYS, MOBILE PHONES OR ANY ELECTRONIC DEVICES - CHIlDREN WILL BE ASKED TO HAND THESE IN IF BROUGHT AND THEY WILL BE RETURNED AT THE DAY TO ENSURE A SAFE ENVIRONMENT FOR ALL CHILDREN Thanks for your co-operation

  • We are an active and creative club with a huge variety of activities for children to choose from when they are not in a structured creative session. We have interactive screens that are used to access our Nimble Activities page where we have subscriptions to a variety of services including School of Beatbox, Cosmic Yoga, and Uno Workshops (creative digital workshop sessions and mindfullness sessions), as well as playlists such as cartoon draw-alongs and get-to-know you game videos where you can watch other children doing the activity before having a go.

    We have access to Netflix Kids and Disney+ which are not used extensively, but with our youngest children (especially if they have been with us for 9-11 hours) we sometimes have a 'golden time' treat at the very end of the day where they can choose to have a chill out with a U-rated cartoon (as well as having all our usual chill out areas available). Our little ones are very tired at the end of their busy day - but we are more than happy for you to let us know your child would rather not have this option and we will ensure they work with an adult in another area.

    Our Eagles (oldest children) and Meerkats have access to our vintage 2D 2 player games - these are not LCD screens but have old-style games that are a great way for buddying up two older children who might like to challenge each other to a game or two. These are limited to 15 minute sessions but again we are very happy to restrict access to these if you prefer your child not to use one.

  • Children are grouped in advance based on age and school and on group preferences logged on your attendee’s details when booking which you can update anytime the week before club starts on you Pembee account

    We group children by age as all our workshops and activity sessions are specifically designed for age groups. It also means we can assign the correct staff with the right qualifications / experience to each age group.

    Groups are organised before each club and sent out to parents on a password protected page about a day or so before the club (using child’s first name, surname initial and school for data protection purposes).

    We can have some flexibility with siblings and friends who may want to be in groups together as our main objective is that children have a great and happy day – and if your child doesn’t know anyone you don’t need to worry – the whole first part of our morning is spent settling in and getting to know each other.

    Once the groups are sent out you can just get in touch with us to make any changes – sometimes we have conflicting requests but we’re really happy to make changes if needed.

    Our groups are organised as follows (approximately) depending on the bookings we have each day:

    Caterpillars: pre-school/ Reception 4-5s

    Puffins: Reception / Year 1/2

    Meerkats: Year 2/3

    Zebras: Year 3/4/5

    Eagles: Year 4/5/6

  • We take safeguarding extremely seriously at Nimble Arts and sign every child in electronically onto our register system. Please be patient if there is a queue at either sign in our out, it is of paramount importance that every child is safely signed in and out.

    On arrival children will be signed in at the front gate and staff will take them to their Group Room – parents and carers will be asked to drop-off at the gate and not enter the building unless this is essential. Our First Aider will be available in reception to sign in medication and discuss any medical needs as will the Setting Manager.

    You must add anyone who is approved to collect your child to your Pembee account telling us their name, relationship to child and contact details. If they are not named on the account at pick up we will not be able to send your child with them and will need to call the child’s emergency contacts to confirm. To add a collector to your account please login and amend on the attendees details. Once they are added, they have permission to drop off and collect your child any time until your remove them so you don’t need to tell us a specific person is picking up as long as they appear on the list.

  • If your child needs extra support to attend we can either refer you through to suitable services offered by Southwark or potentially offer one day per week 9:00am - 3:30pm of 1:1/2/3 support if your child meets the criteria due to a small amount of funding we have received in 2024.

  • We have a qualified first responder/medic from First Aid Cover on site for the full day. They record any first aid incidents which will be texted to you and you will receive a call from us in the case of any serious incidents. Our First Responder will undergo Covid-19 training. If your child needs medication during club hours please also fill out the ‘Permission to administer medicationPlease note our First Responder can only administer prescription in-date medicines.

  • FULL DAYS

    Flexible drop off 8- 9.30am and pick up 3:30 – 5.00pm +Late Pick Up between 5 – 6.30pm: £6.50 per child and includes fruit and popcorn at our Movie Club.

    For siblings:

    Price per FULL day for two siblings 5% off total: £110.20

    Price per FULL day for three siblings 10% off total: £156.60

    All discounts are automatically added to your booking on the Magic Booking checkout page.

    Please note only siblings can be set up on the same Booking account. Parents/Carers should only set up accounts for children they have parental responsibility for.

    HALF DAYS

    AM Session Drop-off from 8:00 – 9:30am and pick up at 1:00pm £32

    PM Session drop off 12:00 and pick up any time from 3:30 – 5:00 £32 + add 5:00 – 6:30pm Late Pick Up for additional £6.50

    +ADD ON

    Full Days & PM sessions can be extended to include our popular Movie Club session this has a flexible pick up between 5:00-6:30. £6.50 per child and includes fruit and popcorn. It can be booked in advance or on the day before 3.00pm subject to availability.

    VOUCHERS/TFC

    We accept childcare vouchers, tax free childcare, card payment and instalment plans. We are set up with all major providers – (see FAQ section Paying by Childcare Voucher or Tax Free Childcare). We also offer instalment plans for advance bookings – please contact us on info@nimblearts to set this up for you.

    BOOKING/YOUR ACCOUNT

    booking for the clubs is all done through Pembee. To book you will need to fill in all you child(rens) information (this can take around 15-20 minutes when you first set up your account.

    You’ll be asked to agree to the Terms and Conditions and set your mail preferences. Please be sure to read the T&C’s carefully for both Booking and Nimble Arts Ltd as they contain very important information and are separate companies. If you wish to receive special offers, availability updates and voucher codes, please make sure you opt in to receive marketing emails.

    Make sure you check your SPAM folder as emails often end up there. You will need to input all the information we require as Ofsted-registered childcarers. Once your account is set up you will be able to book any available days of childcare for one or all of your children.

  • Cancellation Policy HOLIDAY CLUB ONLY - PLEASE SEE YOUR SCHOOlL'S AFTER SCHOOL HUB PAGE FOR ASC CANCELLATION TERMS

    You can cancel and amend your booking using yourPembee accountand refunds / credit will automatically be offered under the following terms

    Parents requesting cancellation 7 or more days before the first day of the booking will be given the option of full refund or credit note for the full value of the cancelled days.

    Parents requesting cancellation of the booking 1- 6 days in advance will receive a credit note for the value of the booking

    Non-attendance on the day where parents do not contact us to let us know any mitigating circumstances (which we will always review on a case by case basis in terms of credit notes/refunds) will not receive a refund or credit note.

    You will need to add money to your tax-free childcare account before making ayment to us if your account does not have enough money to cover the payment. Please set up the payment to us as soon as you have cleared funds in your account but not later than **2 working days** before the start of your booking.

    Your payment comes through to us with an automatic reference that includes your child's initials. We can match this to your account and we will clear the payment on your account after 2-3 days of payment as it takes a few days to come through to us. We don't contact you to let you know this is done so if your account is still show as owing after 4 days please contact us.

    Other Voucher Provider

    If you wish to pay via another provider not listed please drop us an email after booking with the details to info@nimblearts.co.uk and we'll make sure we are set up to accept payments from that provider.

    If you use Bright Horizons via your work to book childcare please book via their system and wait for confirmation. Once confirmed you can book via our system and choose to pay by childcare vouchers then choose Bright Horizons as the provider. We receive payment from Bright Horizons after the club automatically and will clear your account when received.

    If you use My Family Care via your work to book childcare please book via their system and wait for confirmation. Once confirmed you can book via our system and choose My Family Care as the payment method. We receive payment from My Family Care after the club automatically and will clear your account when received

    Student Loan Childcare Grant

    If you are eligible for the Student Loans Childcare Grant you please choose this option and set us up as a carer on the Student Grant system for The Belham our account number is CCG6752958and for Charles Dickens our account number is CCG9584733. We will then send you a payment link to cover 15% of the cost of the booking and claim 85% from your linked account on the Student Grant system which you will need to approve.

  • If you are a recipient of Universal Credit you may be entitled to claim 85% of your weekly childcare cost up to a weekly/monthly cap. The way the system works is that you have to book and pay the full amount up front with us and then ask us for an invoice with al the information your UC rep has said you need. We can send you this as proof of payment on request and you will be able to claim 85% of the cost back.     We are also able to claim payment for childcare from Student Finance if you are a full-time student with a childcare grant.

    Another way to receive 20% of your childcare costs is to set up a Tax Free Childcare account: https://www.gov.uk/tax-free-childcare You can get up to £500 every 3 months (up to £2,000 a year) for each of your children to help with the costs of childcare. This goes up to £1,000 every 3 months if a child is disabled (up to £4,000 a year). You can choose to pay by Tax Free Childcare at checkout and then arrange a transfer to us from this account (we also accept all other providers of childcare vouchers).

    Is there a discount for children who attend school at the setting?

    If you are a parent at the school setting we offer 10% off the booking price – please contact us once you have set up an account but before booking.

    Is there a sibling discount?

    Yes 5% is automatically deducted from the total at checkout for 2 siblings and 10% for 3.

Policies /Info

  • The law as it applies to Out of School and Holiday childcare as laid out in the EYFS Framework from states:

    Before/after school care and holiday provision

    3:40. Where the provision is solely before/after school care or holiday provision for children who normally attend Reception class (or older) during the school day, there must be sufficient staff as for a class of 30 children. It is for providers to determine how many staff are needed to ensure the safety and welfare of children, bearing in mind the type(s) of activity and the age and needs of the children. It is also for providers to determine what qualifications, if any, the manager and/or staff should have. Providers do not need to meet the learning and development requirements in Section 1. However, practitioners should discuss with parents and/or carers (and other practitioners/providers as appropriate, including school staff/teachers) the

    support they intend to offer.

    We take the safety, enjoyment and development of the children we look after very seriously and are members of the Out of School Alliance. We follow their recommendation of having a minimum ratio of 1:10 for children aged 4-8, and 1:15 for older children and are insured for this. For our pre-reception 4 year olds the law states there must be a ratio of 1:8 with a member of staff with each group qualified to level 2 in a recognised area of qualification and we adhere to this requirement. Our children are grouped into age groups of up to 18 children in a similar school year. Each group has 2 members of staff of suitable training/experience to look after the group. They are supported by our First Responder on duty from 8:00 – 6:30, our two Assistant Managers, our Admin Manager (in charge of home-club communication), our Setting Manager (always a qualified teacher or level 3 childcare professional), our Resources Team, our workshop leaders who run our sessions and any 1:1s. All staff have an enhanced DBS check and have been vetted during recruitment. We are insured with Morton Michel.

  • Due to the number of parents who understandably do not give their consent for pictures and video, it is our policy only to take pictures of children’s work which we post on our social media during the day. We do not take pictures and videos of the children or use any pictures and videos publicly with children’s faces shown. We do take pictures of activities, leaders and what children have made and share them with parents by text and email

  • We are committed to positive behaviour management and use a 3 warning system for children. The first warning is verbal, the second miss 5 minutes and the third the child is asked to come out of the session and speak with a manager. If a child has caused physical harm to another we will contact parents immediately and regrettably may have to ask that for the period of that booking the child does not return to us for the safety of other children and their own. This will be discussed with parents and our main aim to to create a safe scenario in which a child can return. We really appreciate parents co-operation.

  • We have worked with 1st Bounce inflatables for many years to hire safe, tested inflatables that are set up and maintained at our camps by their expert staff. For all our clubs we have 2 indoor giant bouncy castles which are PIPA approved. 1st Bounce ensures all equipment is hygienically cleaned before every hire and thoroughly inspected to ensure your complete safety. They carry comprehensive public liability insurance of £5m and all our equipment is fully compliant and PAT tested where required. In the summer we also hire an outdoor obstacle course tested to the same safety standards. All inflatables are securely fixed to permanent structures with safety ropes as well as weighted down with the correct levels of sand weights attached to the castles. Our staff are trained to carry out daily assessments and outdoor inflatables are not used when compliant conditions are not met. Daily safety and maintenance checks are carried out by staff throughout the day and usage is monitored at all times. You can view the PIPA safety certificates here:

  • We employ teaching assistants/EY qualified/experienced staff with 2 years primary experience as Support Leaders and qualified teachers/equivalent with 2 years + primary experience on an ad hoc basis during school holidays throughout the year. We take on staff at different times but you can contact us at info@nimblearts.co.uk if you are interested in a role.

    If we don’t currently have vacancies we will contact you to let you know that we have received your application and will keep it on file and let you know when any vacancies open up.

  • Nimble Arts Ltd are registered at The Belham Primary and Charles Dickens Primary on the Early Years and Compulsory Childcare Register which means we can look legally look after 4-11 year olds between 8.00am – 6.30pm during holiday time.   • Nimble Arts recognises that careful planning is essential in order to keep the children and our staff safe, and to limit the spread of coronavirus/Covid-19, within our setting. Accordingly, we have conducted a thorough Covid-19 risk assessment and will review it on a weekly basis and whenever Government guidance changes. We have flexible adaptable models of care at our setting should government guidelines change at any time. If your child has symptoms of Covid-19 or tests positive please contact us before bringing them to the club so we can discuss the best option.
